Kickstart 2022

Recently, we helped Handelsanställdas Förbund with their “Digiphysical Congress”.
A congress that was transformed at short notice from a physical congress to a “digiphysical” one.
We delivered studio technology and meeting technology for both debate and cultural features at Handels förbundskontor in Stockholm, as well as a link from Umeå folkets hus where the opening program with artists such as Lisa Miskovsky was produced.

A technically complex solution based on our software – Easymeet.

Some delegates met in different departments across the country, others participated from home – a classic “digiphysical” approach.

During December we have been working intensively on improving and adding new features to Easymeet Online.
A welcome update is that meeting administrators can now import delegates directly at meeting level. The system detects whether or not the user already has an account and creates accounts where necessary.
You can also fill in the rights for each delegate directly in the import template. Another new feature is remote meetings with up to 400 participants, and we are currently working on increasing that limit to 600.

A selection of new features/updates:

• User’s username is printed in account and meeting emails
• View status while connected to the video room
• Download all users of the system to Excel
• Download all users per meeting to Excel
• Screen sharing is now available even before starting the meeting or the agenda.

2020 was the year we learned how to meet, conference, make decisions and drive democratic processes forward – remotely.

Since the launch of Eaysmeet Online, our customers have conducted over 300 structured remote meetings.

Sports federations, trade unions, boards and housing associations have voted, debated, held secret ballots and made important decisions using Easymeet Online.

New features

Meeting technology functions

The meeting administrator is now able to create open votes, and choose to display anonymous or personal votes (this does not apply to personal votes, which are always anonymous).

Video features

The user can now switch between five different views in the video window and choose which camera to use in case of multiple cameras.

One feature that our customers have been asking for is the ability to share their screen, to view presentations and documents. In the latest version, we have added this feature. The meeting administrator decides who has the right to display their screen.

Customer portal

We are now launching our own customer portal. The customer portal allows you to view changes, improvements and upcoming features. It is also possible to book telephone support and support technicians for your meetings.

Upcoming Features

Future updates will include support for uploading and distributing documents in Word, Excel and PowerPoint formats.

We also add the possibility for the meeting administrator to prepare and create votes before the meeting starts.

Weighted votes

Weighted votes mean that one vote can be worth more. This is common in general meetings where the owner of more shares has more votes.

You now have the possibility to manage this in both personal elections and ordinary voting. Each participant can now be allocated the number of votes they are entitled to at the meeting.

Then the system takes care of the rest.

BankID

Many of our customers have requested the possibility to manage their participants’ login with BankID.

Therefore, we are now expanding the possibilities of secure logins by providing Swedish BankID.

Stability

We have upgraded all our wireless networks to better cope with high loads, many devices and difficult wireless environments.

The increasing digitalization of society, as well as the increasing demands of users, pose major challenges in delivering seamless systems and services. Users do not accept disruption or delay as they did perhaps 7 or 10 years ago.

In addition to the hardware, we have also redesigned the communication functions in both server and clients to optimize all data traffic.

We always set up our own wireless networks, and always have a local server on site, so we can safely operate and not depend on third parties. We always build our networks and servers on backup power – if the power goes out, there is no interruption to the Congress system.

Advocacy forums/committees/commissions

We have built a completely new part of the system adapted to handle committee work, to make it easy for participants and administration.
An important feature is the “Like” button, which allows users to endorse the proposals they like best, and this then provides a good basis for the chairman and secretary when dealing with all the proposals.

The features include

• Assign users to one or more committees
• read documents/papers related to each committee
• Claiming the respective committee
• “Like” function, users can make suggestions
• Maintain motion – motions dropped in committee can be maintained in plenary at the touch of a button.
